1) PURPOSE: why are we meeting?
2) PLANNING: plan and prepare what you want to happen in the meeting
3) AGENDA: put the agenda out well before the meeting and make it flexible to change if required
4) PEOPLE: don't just invite everyone automatically if they don't need to be there. There is no point wasting others people's time
5) TIME: make sure you stick to start and finish times. Starting late with eight people waiting ten minutes will cost your organization a lot of time and money
6) VENUE: often forgotten. but it has a significant effect on how the meeting goes. Consider whether the table is the right shape to encourage participation, whether the audio and video systems work if required and if refreshments might be needed
7) MINUTES: make sure that a secretary is appointed to take notes; you cannot chair effectively and take notes at the same time
